Organizer's handbook
Before the visit to the theater
- Posters are delivered to you by order before the performance. Fill these in with: organizer, city, date, venue, time, ticket price, pre-purchase of tickets.
- Our ensemble will bring program sheets for the performance when they come to you.
- On our website, tour dates will be published and information that tickets are purchased at the local theater organizer.
- Word of mouth is the best way to get information out. Try to take advantage of the opportunity to talk about the upcoming theater night in different contexts, for example at association meetings, at workplaces or at the coffee table.
- Make a habit of checking out the show's page here on our website to get the latest text, press clippings, photos and videos. Also, our Facebook page is usually overflowing with great press quotes and pictures around our premieres.
- If you create events on your social media, feel free to invite @vasterbottensteatern as a co-host and we will help spread the performance you booked.
- No later than two weeks before the performance date, the stage manager will send a technical requisition for the performance. The technical instructions should be read carefully; they cover such things as arrival times, porters, electricity, etc. Please call the stage manager if you have any questions about the technical requisition. It is always easier to sort out any problems in advance than once we are on site to build.
- A few days before the game day, the tour leader contacts the organizer to check if anything is unclear and who will receive the technical staff.
During the theater visit
- The organizer should be present when the theatre arrives. Ensure that the number of porters needed by the theater is in place. It is important that the stage work starts and is carried out on time as stated in the technical instructions.
- The organizer, who is responsible for health and safety, must inform stage workers in advance about working hours, the nature of the work and safety issues.
- The local staff is paid by the organizer. If the performance has to be canceled or delayed because the stage crew is not fully staffed, the regular fee and all additional overtime costs must be paid by the organizer.
- Stage work often involves lifting heavy objects, so the stage worker should be in good health and of the right age. Note the provisions on minors in working life (AFS 1990:19). Stage workers under the age of 16 are not suitable. Note, for example, that people under the age of 18 may not work after 22.00.
- When we arrive, the venue/stage must be completely empty and cleaned, the dressing rooms prepared and cleaned, the loading entrance cleared and, if necessary, snow cleared and sanded and otherwise everything ready for loading and setting up our decor and equipment. All linen aisles must be empty on our arrival. The Swedish National Facility Testing Authority's inspection report for the sound system, where available, must be available on stage. All escape routes/emergency exits must be cleared.
- The organizer agrees with the tour leader on practical issues such as breaks.
- The organizer should be on site 1 hour before the performance and ensure that all preparations for the theatre performance are ready. Box office, admission, etc.
- After the performance, the porters are needed again to work with the theater staff to tear down and load the set.
- After the performance, the tour manager needs to know the audience numbers because we keep statistics both for our own purposes and for the royalties that the theater must pay to the publisher.
